Texas Bank Treasury Department Goes 100% Paperless 

A Case Study

 Client Overview

A Texas-chartered bank with 126 branches across the state offering a wide range of banking, investment and insurance products to help better manage their clientele’s money, grow their wealth, and protect their assets. With $30B in assets, they rank as the 60th largest bank in the country.

The Challenge

To remain compliant, the Bank’s Treasury Department must save client documents for seven years. However, every client interaction they did was manual, which meant they pushed a lot of paper – every day. To remain compliant they were forced to store mass amounts of documentation in vaults and storage facilities to ensure a safe and secure environment for their client’s sensitive data.  

On top of that, with recent natural disasters threatening to destroy their files and an upcoming move to a new location, our client needed a solution that allowed them to remain compliant, reduce storage costs, eliminate natural disaster threats. 

The Bank already had a content repository in place, IBM FileNet P8, however, they needed help figuring out how to quickly ingest years upon years of preexisting of client documents. Since Pyramid Solutions has extensive experience with IBM applications and architecture, our client chose us to assist them. 

 

Our Innovative Solution

To help our client reach their goals, we embarked on a project that reinvigorated their existing IBM FileNet P8 environment and provided a way to easily ingest documents. This solution included a day-forward scanning solution that directly enabled retail branches with the ability to scan back-files in-house and send all other file types to third parties to be scanned.

Additionally, Pyramid Solutions paired the IBM FileNet P8 application with Pyramid eXpeditor, allowing users to easily jump to frequently used client documents, conduct full-text searches (including metadata) to service clients from any branch location and enable the capability to build their own searches for frequently-accessed accounts.

The IBM FileNet configuration was seen as a complete success. Before our client reached out to Pyramid Solutions, the team scanned about 29 files per hour. Now, they scan a staggering 1,375 files per hour!

With the solution rolled out in only 20 weeks, documents are secure, clients have access to their accounts from any branch or location, and we have one happy client!
